Rolle Solutions Ltd ("Rolle", "we", "us" or "our") respects your privacy and is committed to being clear about how we collect, use and protect your personal information.
This Privacy Policy applies when you use paybyrolle.com, join Rolle Early Access, enter a Rolle promotion or prize draw, complete a survey, contact us or make a business enquiry.
Rolle Solutions Ltd is the controller of the personal information described in this Privacy Policy unless we tell you otherwise.
1. Information we collect
The information we collect depends on how you interact with Rolle.
Information you give us
- your name;
- email address;
- postcode;
- information about your household;
- your approximate monthly share of rent;
- information you provide when joining Rolle Early Access;
- responses you choose to provide through surveys;
- information required to administer a promotion or prize draw;
- information provided when contacting Rolle;
- information provided when making a business enquiry, such as your company, organisation type and approximate portfolio size; and
- any other information you choose to provide to us.
Information collected when you use our website
- your IP address;
- browser type and version;
- device type;
- operating system;
- pages visited;
- how you interact with our website;
- referral information; and
- cookie and similar technology data.
Where non-essential cookies or similar technologies require your permission, we ask for your consent before using them, and nothing non-essential runs until you have given it. More information is available in our Cookie Policy.
Information we may receive from other services
Where you choose to interact with Rolle through a third-party service, such as Instagram, we may receive information made available to us through that service.
For example, where an additional prize-draw entry depends on following Rolle on Instagram and sending us a unique entry code, we may receive information needed to associate that interaction with your Rolle entry and verify whether the qualifying action has been completed.
2. How we use your information
We use personal information only where we have a legitimate reason to do so.
Manage Rolle Early Access
We use the information you provide to register you for Rolle Early Access, maintain your registration, communicate with you about your registration, understand the types of households interested in Rolle and prepare Rolle for launch. Communications necessary to manage your Early Access registration are separate from optional marketing communications.
Administer promotions and prize draws
We may use your information to record your entry, allocate additional qualifying entries, verify qualifying actions, confirm eligibility, prevent duplicate or invalid entries, conduct a prize draw, contact a winner, verify information relevant to a prize and fulfil a prize. The specific rules applying to each promotion are set out in the relevant Prize Draw Terms.
Conduct renter research
We may use survey responses to understand how renters and households currently manage rent, bills and shared financial responsibilities. We use this information to help us understand customer needs and develop Rolle. Taking part in a survey is voluntary.
Respond to enquiries
We use information submitted through our contact forms, email or other communications to respond to renter, business, partnership, media, privacy, security or other enquiries.
Develop and improve Rolle
We may use information to understand how people interact with our website, Early Access programme and product proposition, and to improve our services and customer experience.
Keep Rolle secure
We may process information where necessary to protect our website and systems, prevent or detect misuse, investigate suspicious activity, protect our users and respond to security incidents.
Send marketing communications
Where you have specifically chosen to receive Rolle news, product updates or other marketing communications, we may use your contact details to send them to you. You can unsubscribe at any time.
3. Our legal bases for using your information
UK data protection law requires us to have a lawful basis for processing personal information. The basis we use depends on what we are doing with the information.
Consent
We rely on consent where you actively choose to receive marketing communications, where you agree to advertising measurement on our website, or where another activity specifically requires your consent. You can withdraw your consent at any time, and withdrawing it is as easy as giving it.
Legitimate interests
We may rely on our legitimate interests where processing is reasonably necessary to operate and develop Rolle, administer Early Access, conduct non-intrusive customer and product research, respond to enquiries, understand how our website is used, improve our services, maintain business relationships or protect Rolle, our systems and our users. Where we rely on legitimate interests, we consider the impact of the processing on your rights and interests.
Contract
We may process information where this is necessary to provide something you have requested or to administer terms you have agreed to, including the terms of a prize draw or promotion.
Legal obligation
We may process information where necessary to comply with applicable law, regulatory requirements, accounting requirements or lawful requests from authorities.
4. Marketing
Joining Rolle Early Access or entering a Rolle promotion does not automatically mean you have agreed to receive general marketing from us.
Where we ask whether you would like to receive Rolle news, product updates or other marketing communications, that choice is optional. Where consent is required for electronic marketing, we will ask for it separately and will not make it a condition of entering a prize draw or joining Early Access.
You can unsubscribe from marketing at any time by clicking the unsubscribe link in an email or contacting privacy@paybyrolle.com. We may retain limited information after you unsubscribe so that we can maintain a suppression record and respect your preference in future.
5. Rolle Early Access
When you join Rolle Early Access, we may collect information including your name, email address, postcode, household size, approximate monthly share of rent and other information clearly identified when you register.
We use this information to manage your registration, understand the households interested in Rolle and communicate with you about Early Access. Where an Early Access registration also gives you an entry into a Rolle prize draw, we use the information necessary to administer that entry in accordance with the relevant Prize Draw Terms.
6. Surveys
Rolle may invite Early Access participants or website visitors to complete optional surveys.
Survey responses may include information about household size, how household rent is currently paid, whether rent is shared with other people, how individual rent contributions are made, how rent money is managed before it is due, how household bills are managed, challenges associated with sharing rent or bills, and the types of Rolle features or services people would find useful.
We use this information for customer research and product development. Where practical, we may aggregate or anonymise survey information before using it for longer-term analysis.
7. Prize draws and promotions
If you enter a Rolle prize draw or promotion, we use the information necessary to administer your participation.
- register your entry;
- identify you;
- allocate qualifying additional entries;
- confirm that qualifying actions have been completed;
- prevent duplicate, fraudulent or invalid entries;
- select a winner at random;
- contact a winner;
- verify eligibility or information relevant to the prize; and
- deliver or pay the prize.
The rules governing a particular promotion are set out in its Prize Draw Terms.
Instagram bonus entries
Where a Rolle promotion offers an additional entry for following Rolle on Instagram, we may give you a unique entry code.
If you send that code to Rolle through Instagram, we may process information made available through Instagram or Meta in order to associate the Instagram interaction with your existing Rolle prize-draw entry, verify that the relevant qualifying action has been completed and confirm your additional entry.
We use this information only for the purposes described above unless another purpose has been clearly explained to you. Your use of Instagram is also subject to Meta's own privacy terms and policies.
8. Business enquiries
If you contact Rolle on behalf of a business or organisation, we may collect your name, work email address, company, organisation type, approximate portfolio size and information about what you would like to discuss.
We use this information to understand your enquiry, respond to you and determine whether Rolle may be relevant to your organisation.
9. Who we share your information with
We may share personal information with trusted organisations that help us operate Rolle. Depending on how you interact with us, these may include:
- website and cloud-hosting providers;
- database and technology providers;
- email and communications providers;
- form and survey providers;
- analytics providers;
- advertising and campaign measurement platforms, where you have agreed to advertising cookies on our website;
- security and fraud-prevention providers;
- professional advisers such as lawyers, accountants and compliance specialists;
- financial, Open Banking and payment infrastructure providers where relevant to services you use;
- social media platforms where necessary to administer or verify promotional activity; and
- regulators, courts, law-enforcement bodies or other public authorities where required by law.
We only share information where there is an appropriate reason to do so. Where another organisation processes personal information on our behalf, we require it to protect that information appropriately. Some organisations may act as independent controllers of the information they process. Where this applies, their own privacy policies will explain how they use your information.
10. The Rolle app and financial services
This Privacy Policy currently covers Rolle's website, Early Access programme, research, promotions and enquiry processes.
Rolle is being developed to support the coordination of household rent and bills using specialist payment, financial and Open Banking infrastructure.
Before those services become available to customers, we will update our privacy information to explain clearly what financial and account information is processed, why it is processed, which organisations are involved, how information is shared, the relevant lawful bases, how long information is retained, and the choices and rights available to users.
Rolle is not a bank.
11. How long we keep your information
We do not keep personal information for longer than we reasonably need it. Our current retention approach is:
Early Access registrations
We normally keep Early Access registration information while the Early Access programme remains active and for up to 24 months after your last meaningful interaction with Rolle, unless you become a Rolle customer or we need to retain particular information for another lawful reason.
Survey responses
Identifiable survey responses may be retained for up to 24 months after collection. We may retain aggregated or anonymised research after that point where it no longer identifies you.
Prize-draw entry records
We normally retain entry and verification records for up to 12 months after the relevant prize draw closes, unless a longer period is reasonably required to handle a dispute, complaint or legal obligation.
Prize-winner records
Information relating to a prize winner may be retained for longer where necessary to demonstrate that the promotion was administered correctly or to meet accounting, tax or other legal requirements. Financial and accounting records may need to be retained for up to six years in accordance with applicable UK record-keeping requirements.
General contact enquiries
We normally retain general correspondence for up to 24 months after the last meaningful contact, unless there is a reason to keep it longer.
Business enquiries
We normally retain business enquiry information for up to 36 months after the last meaningful interaction, unless an active commercial relationship continues.
Marketing records
We retain marketing details while you remain subscribed. If you unsubscribe, we may retain a limited suppression record so that we can continue to respect your choice.
Security and technical records
Security logs and similar technical information are retained for periods appropriate to their purpose, normally no longer than 12 months, unless they are required for an ongoing security investigation, legal claim or regulatory requirement.
Website analytics
Where you have agreed to analytics cookies, the records Google Analytics creates about your visit are deleted after 14 months. We have set that period ourselves rather than leaving it open ended. The separate visitor counting described in section 13 produces counts rather than records of individual visits, so there is nothing there to attach a retention period to.
12. International transfers
Some of the organisations that provide technology or other services to Rolle may process personal information outside the United Kingdom.
Where personal information is transferred internationally, we take steps to ensure that the transfer is made in accordance with applicable UK data protection law. Depending on the destination and provider, this may include relying on UK adequacy regulations, approved contractual safeguards or another lawful international-transfer mechanism. Where required, we also assess whether additional protections are appropriate.
You can contact privacy@paybyrolle.com if you would like more information about the safeguards used for international transfers relevant to your personal information.
13. Cookies and similar technologies
Rolle may use cookies and similar technologies to operate our website, maintain security, remember preferences, understand how our website is used and measure and improve website performance.
The website sets no cookies at all unless you agree to analytics or to advertising measurement. We measure how many people visit and how quickly pages load using Cloudflare Web Analytics, which stores nothing on your device and reads nothing from it. Your IP address reaches Cloudflare in the course of the request, and Cloudflare states that it discards that address at the data centre nearest to you and does not keep it in its databases or logs; what reaches us is counts rather than a record of your visit. We rely on our legitimate interests in knowing whether the website works. The website also stores two small items in your own browser so that features you have asked for work properly.
We also use Google Analytics 4 to understand which pages people read and where they give up, which the counting above cannot tell us. It sets cookies and is not strictly necessary, so we rely on your consent and it does not run until you have agreed: the Google tag is not placed on the page at all until then. Google provides the service on our instructions under its data processing terms. Google signals, user-provided data collection and any link to Google Ads are switched off, so this is not used to build an advertising profile of you or to target advertising. Google states that it does not log or store your IP address in Google Analytics 4, and we have set the underlying records to be deleted after 14 months. Google is a United States company, so agreeing means information about your visit may be handled outside the United Kingdom under the safeguards described in section 12. You can withdraw at any time from Cookie preferences in the footer, which stops the tag and deletes its cookies from your device.
We advertise Rolle on Google, Facebook, Instagram and TikTok, and we use Google Ads conversion tracking, the Meta Pixel and the TikTok Pixel to see which of those adverts bring people to us. Those technologies set cookies and measure activity across other websites, so they are non-essential and we rely on your consent for them. None of them loads until you have agreed, and none is loaded and then blocked: without your consent nothing is requested from Google, Meta or TikTok at all. With your consent, our own server also tells TikTok when the Early Access page was viewed or a form was completed, alongside the Pixel in your browser: the page address, the time, your IP address, your browser type and TikTok's own identifiers, and never your name, your email address or anything you typed. Without your consent our server sends TikTok nothing. Google, Meta and TikTok are responsible in their own right for what they receive, and all three are United States companies, so agreeing means information about your visit is transferred outside the United Kingdom under the safeguards described in section 12. You can withdraw at any time from Cookie preferences in the footer, which stops Google Ads conversion tracking and both pixels and deletes the cookies they set from your device.
All of this, including every cookie by name, is described in our Cookie Policy.
We ask before using anything non-essential rather than treating continued browsing as consent. A notice offers Accept all and Reject all side by side, so refusing is one click rather than a trip through a settings panel, a Preferences panel lets you choose category by category, and Cookie preferences in the footer reopens it whenever you want to change your mind. Your choice is kept for six months and then we ask again, whichever way you answered. Our Cookie Policy sets out how all of it works.
14. Your rights
Depending on the circumstances and the lawful basis we rely on, you may have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to delete your personal information;
- ask us to restrict how we use your information;
- object to certain uses of your information;
- receive certain personal information in a portable format;
- withdraw consent where we rely on consent; and
- object to direct marketing at any time.
To exercise a privacy right, contact privacy@paybyrolle.com. We may need to ask for information to verify your identity before completing a request.
Your right to object
Where we rely on legitimate interests to process your personal information, you may have the right to object to that processing. You have an absolute right to object to the use of your personal information for direct marketing.
To object, contact privacy@paybyrolle.com or use the unsubscribe option provided in our marketing communications.
15. Automated decision-making
Rolle does not currently use personal information covered by this Privacy Policy to make solely automated decisions that produce legal or similarly significant effects about you. If this changes as Rolle develops, we will update our privacy information and explain the relevant processing and safeguards.
16. Keeping your information secure
We use technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
- controlled access to information;
- secure authentication;
- encryption where appropriate;
- separation of sensitive credentials from the client application;
- automated security testing; and
- monitoring and reviewing how information is accessed and handled.
You can learn more on our Security page.
17. Links to other websites and services
Our website may contain links to websites or services operated by other organisations. Rolle is not responsible for the privacy practices of those organisations. We recommend reviewing their privacy information before providing personal information to them.
18. Complaints
If you have a concern about how Rolle uses your personal information, please contact us first at privacy@paybyrolle.com so that we can try to resolve it.
You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator:

19. Changes to this Privacy Policy
We may update this Privacy Policy as Rolle develops, our services change or our legal and regulatory obligations change. The latest version will always be available at paybyrolle.com/privacy. We will update the date at the top of this page whenever we make changes. Where appropriate, we may also notify you separately about significant changes.
